ACE individual course/conference approval

As of April 1, 2019, the New Jersey Continuing Education Course Approval Program is now called ACE individual course/conference approval.

New providers

If your organization is not an ACE provider or has never had a course approved through ACE individual course/conference approval or the New Jersey CE Course Approval Program, you must complete a prequalification application. Learn more.


Course/Conference applications

Submit these applications for course or conference approval. The last page of each application includes a checklist of required supporting documents. See the ACE Handbook individual course approval appendix for sample supporting documents, such as evaluations, certificates, promotional material, and attendance tracking methods.

Adobe Reader XI is required; it is available free on the Adobe website.

  1. ACE Section I – Individual Course Application Cover Page and use the attachment, if needed, to list additional courses.
  2. ACE Section II – Individual Course Application for each course or conference session submitted for approval.
  3. ACE Section III – Individual Course Application Payment Form

How to complete and submit the applications

  1. Individual course applications must be submitted 90 days before the course date.
  2. Submit required documents (e.g., resume, bibliography, etc.) as individual attachments. Do not combine documents or application forms into one file.
  3. Respond to every question. If a question does not apply, enter “n/a” and explain.
  4. ACE accepts only electronic application submissions. Documents that are completed by hand will not be accepted, even if these are scanned and submitted electronically. Mailed or faxed applications will not be accepted.
  5. With the exception of the payment form, send completed applications and supporting documents by email to cecourseapproval@aswb.org.
  6. Payments must be mailed or made by phone. Payments are nonrefundable. Applicants are responsible for sending the correct fee as overpayments will not be returned. Applicants from outside the United States must pay by money order or credit card.

    The email should include:

    • Fee worksheet and payment form (ACE providers and applicants) OR ACE Section III – Individual Course Application Payment Form (Individual course approval) without the credit card information filled out
    • Your telephone number

Renewals

  • Providers of ACE approved individual courses or conferences may renew a course every two years. An email will be sent to the primary contact 120 days before the expiration date.
  • CE providers must submit a renewal application and all required materials and fees at least 90 days before the expiration date or risk a lapse in approval.
  • A new course/conference application is required when courses or conferences are more than 90 days past the expiration of their course or conference session approval period.
  • Course material must meet current ACE standards when submitted for renewal. Courses or course materials may no longer meet current standards if standards have been updated since initial approval or last renewal. Providers are responsible for updating courses and materials to meet the current standards.

Ten things to know about the individual course/conference application review process

  1. When we have received all application items and the fee, we will email a payment receipt and the application review process will begin.
  2. Applications are processed and reviewed in the order received.
  3. Approval of a course or conference application may take up to 90 days from the date we receive a complete course or conference application.
  4. The course is reviewed to ensure the course content, materials, and administration are compliant with the standards outlined in the ACE Handbook.
  5. If ACE determines at any point in the review process that an applicant’s course is not relevant to social work, no additional revisions will be allowed and course approval will be declined.
  6. Once our review is complete, we will send your primary contact an email with a confirmation of approval or a review report that details the areas that do not meet ACE standards and specifies the actions the applicant must take to comply.
  7. The original application and fee allow the applicant’s materials to be reviewed three times. Applicants who have not obtained course approval after two revisions to the original application materials and who wish to submit additional revisions to materials must request additional reviews and pay additional fees.
  8. When reviewing an application, the ACE review team reserves the right to seek expert advice and relevant information from external sources, provided that such information is kept confidential by the review team and the adviser. For example, ASWB’s Continuing Competence Committee may review applications. This committee is made up of social work professionals licensed in the United States and Canada who volunteer with ASWB. It is a diverse group of social workers with practice or academic backgrounds who have regulatory board experience.
  9. If a course is not approved, the applicant may appeal the decision.
  10. The review process must be completed within one year from the date of the initial application. Courses that are not approved within a year will be denied approval. Providers wishing to continue the application process must reapply for course approval.
